What This Service is (and isn’t)

- Independent tenant record: We perform a separate, tenant-side inspection. We’re not co-inspecting with the agent/property manager. In this instance we are supporting & representing the tenant... No other party.

- Tenant presence optional: We can conduct the inspection with or without you present. Once you receive our report, you can submit it directly to the agency/landlord; or you can cross-check and add notes; as you prefer.

- Visual & non-invasive: This is not a building/pest inspection. We don’t dismantle, climb, or test/diagnose gas systems/appliances beyond basic checks permitted. Our role is to document current condition of your residential property to help protect your tenancy (and your bond).

  • Yes, the tenant needs to fill out the tenant section of any entry condition report to detail the property’s condition when moving in and vacating a rental property to the landlord/agent. Whilst the landlord provides the initial report, the tenant’s role is to inspect the property, add their comments on any damage or issues missed by the landlord/agent, & sign the report before returning a copy & keeping their own copy for their records.

    • Inspect Thoroughly: Go from room to room, checking the condition of carpets, walls, windows, appliances, and fittings. 

    • Note Any Discrepancies: Make specific comments on the report about any marks, stains, or items that are not working or are damaged. 

    • Take Photos: Take photos as additional evidence to support your notes. 

    • Return the Report: Return the completed report (a copy) to the landlord or agent within the specified timeframe. 

    • Keep a Copy: Keep a copy of the signed report for your record

  • If the tenant does not complete and return the report, it means they agree with the property manager/owner's description of the property.

    • Evidence: It serves as important evidence of the property's condition at the start of the tenancy, helping to prevent disputes about damage or wear and tear. 

    • Bond Protection: It protects the tenant's bond by providing a record of the property's state when they moved in. 

  • Scheduling is subject to availability. Tell us your deadline and we’ll offer the earliest options. If we are fully booked & it is of urgency to you, we can offer the inspection service outside of normal business-hours (which attracts a surcharge).

    Reports & photos are typically provided same-day or next business day (depending on inspection time).

  • No guarantees. Our role is to give you independent, timestamped evidence to reduce the risk of disputes.

  • At the end of a tenancy, the tenant completes the Exit Condition Report (Form 14a) and gives a signed copy to the property manager/owner when returning the keys. The property manager/owner then inspects the premises, notes any disagreements, and must sign and return a copy to the tenant within 3 business days. They must retain a copy for at least 1 year after the agreement ends.

    Tip: The Exit report is compared with your Entry report to assess condition (allowing for fair wear and tear). Include dated photos to support your record.

    Tenant’s role:

    • Complete & sign the report: Inspect after you’ve cleaned; record each room/area.

    • Provide evidence: Attach timestamped photos/video of the property’s condition.

    • Submit with the keys: Give the signed report to the property manager/landlord when you vacate/return keys.

    • Keep a copy: Retain your copy for your records.

    Property Manager/Landlord’s role:

    • Inspect after receiving your report.

    • Add comments/disagreements directly on the report.

    • Sign & return a copy to you within 3 business days.

It’s completed by both parties (manager/owner first, then tenant) and supports fair outcomes at bond refund.

    What it includes:

    • Property details & inclusions: rooms/areas and any included furniture/appliances.

    • Room-by-room condition: walls, floors, windows, fittings, cleanliness and damage/wear.

    • Function checks (where applicable): doors/windows/locks; taps (incl. hot water), shower, toilet, lights, fans, air-con, oven/cooktop/rangehood, powerpoints, NBN/phone points; outdoor areas; pool/filter where relevant.

    • Photo/video evidence: date-stamped images strongly recommended.

    Why it matters:

    • Bond protection (tenants): proves pre-existing marks/defects so you’re not charged for them later.

    • Fair assessment (owners/managers): helps distinguish damage from fair wear and tear.

    • Clear baseline: provides an agreed “starting point” to compare with the exit report.

    How it works in QLD (sequence & timelines):

    1. Manager/Owner prepares & signs first. They must prepare, sign and give the report to the tenant at the start of the tenancy (it’s an offence not to).

    2. Tenant completes & returns within 7 days. You add agreements/disagreements and comments, then return the report within 7 days.

    3. Manager/Owner returns a copy within 14 days. They send you a copy of the signed & completed report within 14 days. Keep it with your entry photos—it may be used as evidence if there’s a dispute.
